Using Gateway Room AV
CDSS AV has provided some initial documentation, with more expected in the future.
The documentation here on this page was collected by SCF staff based on best available information.
Cables and dongles
In non-Zoom rooms, there will generally be two cables.
- The HDMI (connecting to a USB-C dongle if needed) will connect your screen content to the in-room TV or projector.
- The USB-A (connecting to USB-C dongle if needed) will connect to the in-room equipment (camera and audio) for use in Zoom meetings.
In the smaller rooms you may need your own dongles if your laptop only has USB-C ports.
Non-Zoom (BYOD) large rooms
- Gateway 3355 (meeting room off the large (south) kitchen)
- Gateway classrooms
These are BYOD (bring-your-own-device) not Zoom rooms (i.e., there is no in-room computer and no ability to have the “room” join the meeting).
If the main Zoom participant connects to the cables at the front of the room, they can choose to use the in-room technology (camera, microphones, speakers) so that the whole room can view remote participants on the TVs and that remote participants see and hear the in-person participants via the room equipment.
- Connect to the room equipment using the cables.
- If using Zoom, select the in-room equipment when clicking on the audio and video options at the lower left of the Zoom window. For the microphone and speaker, there may be multiple external devices listed, so there may be some trial-and-error to determine the one to select.
- Using the in-room control panel (in the classrooms, you will need to use the advanced mode documented below), use the buttons on the lower left to:
- control which monitor is active (when there are multiple monitors/projector)
- control microphone and speaker volume
- control where the camera(s) are pointed and which camera is used
More detailed instructions are available in general and specifically for 3355 (likely also helpful for other BYOD rooms).
If you just want to project your screen, simply connect to the HDMI cable in the room.
Gateway 1420 meeting/lunch/seminar room
This is a non-Zoom BYOD room as well. This section provides some additional information specific to the room:
- The screen should come down and the projector turn on when you plug your laptop into the cables (as in a classroom).
- There are no in-room mics, just the handheld, lapel, and lectern mics.
- Ensure the microphone on the Crestron is not muted.
- Camera controls are set to rear camera, preset 1.
- To broadcast both video of the speaker and of the slides to zoom, the speaker should share their slides to the zoom and choose to spotlight the lectern video.
- We have sometimes have found the system to be unresponsive upon arriving.
- You might try going to the Display Settings on your computer and trying to choose to display to the room equipment. Holding the option key on a Mac while in the Display Settings will make the “Detect Displays” button appear, which might help.
- Power cycling the AV brick under the podium may help.
- Dragging down the horizontal line from top of the control panel exposes additional controls. Pressing “volume down” seems to trigger the rest of the touchpad controls.
Finer-grain control in classrooms (and other non-Zoom rooms with control panels)
Currently there is limited functionality for controlling the AV in the classrooms using the touchscreen panels (CDSS AV has told us that additional functionality will be exposed to users in the future, but we don’t know when that will happen).
For now, for finer control over the equipment, there is an ‘advanced mode’ that can be used. You can enter advanced mode by holding your finger for 5 seconds on the CDSS logo in the upper left of the control panel. Reach out to Chris Paciorek or Ryan Lovett (via consult@stat.berkeley.edu) for assistance for you or your GSI. Capabilities include:
- Blanking and raising/lowering screens one at a time
- Moving where the camera is pointed (and therefore what is being captured on the course capture).
- Controlling the microphone and speaker volumes
Zoom rooms (medium-size meeting rooms)
- Gateway 3389
- Gateway 3161
- Gateway 3219
The functionality is similar to the Zoom rooms in Evans (432, 1011).
Starting a meeting
Scheduled meeting on room calendar
Previously scheduled meetings in this room can be joined with one-touch from the iPad’s left column. To create them:
- Create a Google Calendar event and add a Zoom meeting to it with the Zoom for Google Workspace extension
- Request a room reservation by adding the room to the calendar event.
If you add the room to your meeting on Google Calendar, and also add a Zoom meeting to the video conference field, the meeting will appear on the in-room tablet's display in the column to the left of the meeting control buttons, beneath the day and time. Tap the Join Meeting button next to your meeting.
Existing meeting on personal calendar
If there is an existing Zoom meeting that has not been added to the room's calendar, you can still join the meeting from the room. Tap Join and enter your meeting's ID and passcode.
Instant meeting
If you have not scheduled your meeting in advance, tap New Meeting. Send the meeting ID and passcode to the meeting participants, or invite them from within the meeting.
Sharing your screen
You will need to bring a device to share from and connect to WiFi. Do not connect to audio when joining the meeting (or disconnect after joining, or at least mute your laptop’s microphone and speaker).
In a meeting
Start or join a meeting on the control panel. Then join it from your computer. Alternatively, tap the Share Content button on the control panel when in a meeting to display instructions on both the tablet and room display.
Direct share (proximity)
Start or join a meeting on the control panel. Click Share Screen in your computer's Zoom application. (Linux excluded)
Share to the room (no meeting)
From the control panel main menu, tap Share Content. Visit the displayed URL to share your screen without starting or joining a meeting.
Small rooms with only TVs (Crestron Bar BYOD)
- Small meeting rooms
- Huddle rooms
- TVs in various open locations (including small (north) kitchen)
These locations only have Crestron Bar TVs.
- Connect to the HDMI to send your screen to the TV.
- Connect to the USB-A to use the Crestron Bar camera and audio for Zoom meetings.
You may need to bring cables (for some TVs in open areas) and/or dongles if you only have USB-C ports (e.g., some Mac laptops).
For Zoom calls, click on the audio and video options at the lower left of the Zoom window and select the in-room equipment rather than your laptop’s camera/microphone/speaker. For the microphone and speaker, there may be multiple external devices listed, so there may be some trial-and-error to determine the one to select.
